Move Yahoo Mail into Outlook and keep a separate backup

People use “move Yahoo to Outlook” for three different tasks: reading Yahoo in another app, saving a local archive, or moving messages to a different email account. Choose the destination first. It determines whether you need account setup, a PST export, or a separate mailbox transfer.

Choose what should happen to the mail

The MBOX to PST converter does not connect to Yahoo or download an account. It is relevant only if you already have the messages in an MBOX archive. You do not need that converter merely to add a live Yahoo account to Outlook.

Add Yahoo with the current sign-in flow

In classic Outlook for Windows, choose File → Add Account, enter your Yahoo address, and select Connect. Complete the Yahoo sign-in window, any verification challenge, and the requested access approval. Finish account setup and allow Outlook to load the mailbox.

In new Outlook, use Settings → Accounts → Your accounts → Add Account, enter the Yahoo address, and complete the browser-based sign-in. Microsoft maintains the version-specific Yahoo setup instructions.

Do not assume that every account needs an app password. Modern automatic setup uses Yahoo's sign-in flow. Yahoo documents app passwords for applications that do not use its branded sign-in page. If that applies to your client, follow Yahoo's instructions; avoid repeatedly entering the normal account password into an incompatible legacy prompt.

Confirm that Outlook has the mail you intend to keep

Before exporting, list the Yahoo folders you need: Inbox, Sent, and any custom folders or archived periods. Check them against Yahoo webmail. Opening the Inbox successfully does not prove that every other folder has downloaded.

Choose several messages you can recognize, including an old one and one with an attachment. Once synchronization settles, disconnect from the network and try opening those messages and attachments. Sampling helps expose an incomplete download; it does not establish that the whole account is complete.

If a folder is missing, investigate its visibility or subscription in the mail client before exporting. If some mail was stored only on an old computer through POP or Local Folders, current Yahoo webmail may not contain it. Recover that local source separately rather than expecting a new account connection to recreate it.

Export an independent PST with classic Outlook

The following route uses classic Outlook's File menu. Follow Microsoft's PST export instructions:

1. Choose File → Open & Export → Import/Export.
2. Select Export to a file, then Outlook Data File (.pst).
3. Select the Yahoo account or the intended folder and review Include subfolders.
4. Save to a new filename on a local drive and finish the export.

A distinct filename for each attempt makes retries easier to compare. Avoid appending repeatedly to the same archive while you are still investigating missing items. These export steps require classic Outlook; new Outlook uses a different export interface.

Verify the PST separately from the live account

Open the exported file with File → Open & Export → Open Outlook Data File. Find its separate folder tree, then check the same known messages there. Otherwise you may accidentally verify Yahoo's synchronized Inbox instead of the new backup.

Compare the selected folders and date ranges, then open attachments from the PST while offline. Close Outlook before copying the finished file to separate backup storage. Keep the earlier known-good backup until its replacement has passed these checks.

Exporting creates a snapshot. Future Yahoo mail will not automatically appear in it. The connected Yahoo account still synchronizes, so deleting a message from that account in Outlook can affect the server copy. Work in the correct folder tree when cleaning up or reorganizing mail.

Does adding Yahoo move it into a Microsoft mailbox?

No. Adding Yahoo to Outlook changes the app you use to access Yahoo; it does not change the address or transfer the history into Outlook.com or Microsoft 365.

For an actual transfer, connect the destination account separately. Test copying a small set into a clearly named destination folder and check that folder through the destination's webmail. For Microsoft 365, the PST-to-mailbox steps also apply once you have a checked PST. Do not repeat its MBOX conversion stage for a PST you already exported.

Troubleshoot before repeating the entire export

Mail synchronization does not by itself create portable backups of contacts and calendars. Export those separately if they are part of your move, then check them in their intended destination.
